Planning a birthday party is no small task. There are so many things to decide and do that you really need to stay organized or it can get a little bit stressful.
Here’s the birthday party to do list that I use every time I plan one of my kid’s birthday parties.
It comes as a 3 page download, and includes 2 planner pages for you to fill out and check off, and a list of some of the most common tasks you might need to take care of as you’re planning.

Tip: When you print, select “fit to paper” to make sure that none of the list gets cut off.
In this planner, you’ll find a 2 page planner that you can fill out and check off as you plan your kid’s birthday party.
Or, just use the third page, which is already filled out with common birthday party to dos.
Birthday party to do list
- Pick a party location and theme
- Choose a date and time for the party
- If needed, reserve your venue or entertainment
- Create a guest list
- Gather guest information (emails/phone numbers) as needed
- Create invitations
- Send invitations
- Keep track of RSVPs as they come in (follow up with anyone who has not RSVPd)
- Brainstorm a food/drink list
- Put in food/cake orders, or add items needed to your shopping list
- Plan and prepare any activities or game (add any supplies needed to your shopping list)
- Choose and order or buy decorations
- Choose and order or buy party favors
- Work on decorations, games, or activities that need to be prepared ahead of time
- Purchase the items on your shopping list
- Pick up food orders
- Prepare any food as needed
- Decorate the party space
- Have a wonderful time celebrating!
